Respected Sir/Madam,

I believe you would be in a state of shock for having your lease getting terminated before the intended period of lease.

Further I would request you to take this termination not as a source of shocking news. Rather, take it as news of awareness for improving your quality of service so that the same will not happen ever again in the forthcoming tenders.

Your organization has been providing our college with quality food through the canteen lease which you have taken and renewed since the part five years continuously without any grievances from either the students side or the staffs side.

You were much flexible to our needs such that you changed your default menu several times whenever we requested you to do so. Also we were thankful to you for providing excellent catering services at the times of festivals and get together conducted at our college campus. You adapted yourself at various situations which mainly focused on the benefit of us on most occasions in terms of service quality.

But, in the past few weeks the service quality of your caterers is not up to the mark such that even average servicing quality was doubtful due to lack of sufficient employees in the canteen.

So, with the hope that you will take relevant steps to rectify it at least in the next lease, the college administration had decided to terminate this lease.

Therefore, I conclude this letter with the hope that you would understand my situation and accept my apologies for having caused such inconvenience to your company.
